PTSA Board Meetings
PTSA Board Meetings are now on Zoom at 6:00pm on the following Tuesdays before a 7pm General Meeting or 6:30pm if no General Meeting follows. All are welcome to present items before the closed session starts. Email [email protected] to request link to present.

Job Descriptions
President: Preside at all meetings of the General PTSA, and Board. Appoint chairmen and members of committees. Sign all authorizations for payment. Prepare annual report. Represent Del Mar at district meetings. Have all outgoing PTSA information approved by the principal. Have all contracts approved by PTSA. Sign checks. Assemble and preserve a record of activities, achievements and volunteer hours of the PTSA.
Vice President, Membership: Hold membership drive at beginning of year and mid-year. Retain membership records and share with fellow board members. Provide sign-in sheet and report at meetings. Complete and distribute membership cards. Aide to president. Perform duties of president in his/her absence. Attend the meetings of the General PTSA, and Board.
Hospitality: Arrange for snacks at teacher staff meetings as well as PTSA General Meetings. Organize hospitality for events throughout the school year. Aide to president. Perform duties of president in the absence of First VP Membership. Attend the meetings of the General PTSA, and Board.
Recording Secretary: Keep minutes of all PTSA meetings. With President, sign all authorizations for payment. Record all PTSA expenditures in the minutes. Provide minutes to auditor twice yearly. Have minutes bound annually . Attend the meetings of the General PTSA, and Board.
Time Commitment: Six hours per month including meeting attendance.
Treasurer: Keep current accounting books of the PTSA. Prepare PTSA budget. Secure signatures of all authorized signers. Pay all bills, with 2 signatures on all checks. Pay district, State and National PTA dues. Present Treasurer's report at each meeting. File necessary reports to State PTA. Facilitate the filing of Federal and State tax paperwork at the start of the school year. Attend the meetings of the General PTSA, and Board.
Parliamentarian: (*appointed, no vote needed): Review the bylaws annually at the beginning of the school year using an electronic bylaws program. Call the first meeting of the Nominating Committee in January. Give advice in parliamentary procedure, if this is of interest to you.
Time Commitment: Meeting attendance, plus approximately 5 hours of bylaws work at the beginning of the year.
Financial Secretary: Prepare all authorizations for payment. Keep an accurate record of receipts. Make deposits. Prepare, mail, and log receipts for donations. Attend the meetings of the General PTSA, and Board.
Committee Chair - Canteen: Coordinate the volunteers using iVolunteer, and monthly email. Coordinate with the PTSA Financial Secretary to make bank deposits weekly. Fill in when a volunteer is sick. Monitor the supplies alongside the Shopper.
Time Commitment: PTSA meeting attendance, plus 6 hours per month.
Committee Chair - Grad Night: (*appointed, no vote needed): Chair the committee that makes arrangements for Grad Night 2015. Attend or prepare report for the meetings of the General PTSA, and Board.
Committee Chair - Community Night: (*appointed, no vote needed) [fundraising dinner and auction for the Community]: Arrange the Silent Auction portion of the night as well as theme, food, and entertainment for the evening. Attend or prepare report for the meetings of the General PTSA, and Board.
Auditor: (appointed by the Executive Board, but is not on the Executive Board): Audit the books and financial records of the association semiannually. Present a written report to the PTSA board semiannually.
District Parent Rep, assistant to the PTSA president: 6 times yearly, one hour lunch meeting at the CUHSD district offices with representatives from all the other high schools in our District. Know highlights of happenings at Del Mar, share information in a positive constructive manner, hear about site construction, budgets, funding, report findings at the PTSA meetings (either in person, or through a written summary). Have the ear of the Superintendent.
Time Commitment: PTSA meeting attendance, plus 10 hours.
Volunteer Coordinator: Telephone volunteers (from a compiled list) to assist with various one-time projects as they come up during the year.
Time Commitment: Not a regular commitment; on an as-needed basis. Phone time varies from 10 minutes to 45 minutes depending on the occasion.
